Position Purpose: The Royalties and Payables Coordinator is responsible for maintaining worldwide vendor, payment and royalty systems and processes for Theatricals. The Coordinator helps manage authors/vendors and assists the Theatricals Royalties and Accounting team in performing payment runs, bank reconciliations and reporting.  Works under close/direct supervision. 

Responsibilities

What you’ll do:

  • Correspond directly with authors, agents, beneficiaries, and vendors to collect necessary payment and tax documentation. Onboard new clients/vendors using corporate vendor portals (i.e. Graphite) and procedures.
  • Maintain accurate payee contact and tax information within our database and contract management system and respond timely to client/vendor inquiries.
  • Create payments to clients/vendors (including check and ACH) in NetSuite and online banking platform. Reconcile payments with bank and compile reporting as needed.
  • Maintains and updates the Theatricals information systems (Rightsline, Alliant, NetSuite) when new deals or advances are completed to ensure royalties will be processed properly.
  • Collaborate with the Business Affairs team to facilitate redirections of payments/royalty reporting, facilitate advance and royalty payments, confirm deal set-ups and royalty splits against contract terms.
  • Assists Corporate Tax and Corporate Accounting teams with regulatory requests, such as IRS forms 1099 and 1042 at year end, unclaimed funds/escheatment process, etc.
  • Support Theatricals Royalties and Accounting teams with additional duties as assigned.

Qualifications

What you’ll need to succeed:

  • Bachelor’s degree in business, finance/accounting, arts management or other related degree required, or the equivalent combination of education and experience required.
  • Prior experience working with contracts, royalties, or theatrical company/general management preferred
  • Ability to multitask and prioritize a variety of projects in a busy department required.
  • Ability to take initiative, be proactive, and follow through on projects required.
  • Strong organizational skills and ability to be detail oriented required.
  • Excellent written and oral communication skills
  • Strong Microsoft Excel skills required; Prior experience with banking portals or in NetSuite ERP, COGNOS EPM or Rightsline, Alliant a plus.
  • Interest in Theatre, Music or Performing Arts preferred, but not required.

 

Salary Range: $50,000-$55,000

 

*This job is hybrid- requiring 3 days a week minimum on site.
