As the Royalties Manager, you'll manage overall workflow and administration of all artist royalty accounts while ensuring the accurate and timely payment of royalties. Supervise and train coordinators and interns in their appropriate responsibilities. Render Net Profit and Merchandise statements. Report artists rates to finance for accruals.

Responsibilities

What you’ll do:

 

  • Duties will consist of, but are not limited to, data entry and royalty database maintenance, generating reports, creating and managing files/folders (including electronic folders) for all releases, and determining proper rate/data calculations 
  • Supervise and train coordinators and interns as needed.
  • Report artist rates to finance for their accruals.
  • Assist with inquiries (both external and internal) related to Artist royalties and act as a liaison between the royalty department and other intercompany departments or outside 3rd parties
  • Review artist contracts prior to ingestion into the royalty system and gather any relevant costs (e.g.-marketing, recording, etc.).  Set up release and rate information in the royalty systems and aid in the review of the accuracy and completeness of semi-annual artist royalty statements.
  • Assist in the timely rendering of Net Profit Statements
  • Perform fund calcs, back calcs and payment requests as required
  • Perform all aspects of vendor maintenance for artists and 3rd party clients.
  • Work with internal teams to clean up outstanding artist royalty issues
  • Assist in special projects on an as-needed basis

 

Outline of Specific Functions:

 

 Royalty Software Maintenance (90%)

  • Responsible for ensuring the timely creation, issuance, and payment of all artist and producer statements
  • Assign and review tasks of direct reports
  • Review and/or set up artist and producer contracts in the royalty system
  • Add and maintain Artist and Producer accounts in the royalty system
  • Analyze artist contracts and add relevant rates by territory, price level and configuration 
  • Attach products and recoupable costs to products and review for any errors

 

Vendor Maintenance (8%)

  • Work with BA and Customer Service to research, find and verify clients in which we have lost contact; heirs, estates, etc.
  • Update relevant tax documents, Will’s, etc.
  • Update changes of address and payment methods
  • Coordinate with finance department to update vendor in the royalty and accounting system. 

 General & Other (2%)

  • Assist the VP and Director of Recorded Music Royalties with a variety of projects on an as-needed basis. 
  • Create back calculations, fund calculation and other ad hoc reports as needed by A&R, Business Affairs, and Finance.
  • Assist with various special projects as requested. Projects may include (but are not limited to) various audit requests, identifying and researching agreements that have not been processed, and reviewing the issuance, accuracy, and clearance of payments.

 

Qualifications

What you’ll need:

 

  • 4+ years artist and/or mechanical/publishing royalties experience at a record label or related company
  • Computer systems knowledge required including database maintenance and set up
  • Experience with Counterpoint/Vistex software (specifically Record Maestro) highly preferred
  • Experience with ASCAP, BMI, SESAC and eMechanical databases desirable
  • College Degree Preferred
  • Outstanding organizational skills are required, as well as proficiency with Word and Excel (intermediate or above). 
  • Must be proactive, able to handle confidential materials, and be detail-oriented.
  • Must be a multi-tasked individual, work well under pressure and be patient but diligent in resolving and completing projects.
  • Must be able to prioritize projects with contractual obligations and get clarification when needed.
  • Must be a team player in the royalty department and the company as a whole.
  • Must demonstrate good judgment

*This is a hybrid role requiring 3 days minimum on-site.
