Our amazing Nashville office is in search of an Office Services Coordinator to be an integral member of our team. We are looking for an upbeat, polished, professional first face to greet guests, answer questions, answer phones, maintain office common areas, restock kitchen, order supplies, and general office and facilities administration. Works under general supervision of the Director Facilities.

Responsibilities

What you’ll do:

  • Re-stock the kitchen and keep it tidy. (25%)
  • Maintain common areas, kitchen, and conference room. (11%)
  • Greeting and screening all visitors (10%)
  • Sort and distribute all incoming mail, packages, and deliveries (10%)
  • Determine and order office supplies and snacks weekly and as needed. (10%)
  • Office relationship management with employees at all levels, building management, off-site storage facilities, office furniture dealer, maintenance vendors, etc. (10%)
  • Light event planning, event set-up and break-down (5%)
  • Manage conference room bookings. (5%)
  • Manage employee parking logistics, office seating, seating charts/floorplans, etc.(5%)
  • Provide backup administrative support for Director, Facilities, when needed (5%)
  • Answering phones, directing calls, taking messages (2%)
  • Handle special projects as needed (2%)  

Qualifications

What you’ll need:

  • Minimum High School Degree, or GED required.
  • Minimum two years’ experience in an administrative role, within a fast-paced office environment
  • Must be able to work all office hours, on-site.
  • Ability to work with confidential and sensitive information in a discrete manner
  • Must be able to lift moderate to heavy items occasionally (10lbs-30lbs)
  • Professional and friendly telephone demeanor required.
  • High level of customer service orientation and a positive ‘Can-do’ attitude are required.
  • Strong interpersonal skills, ability to work in a team environment, high degree of tact.
  • Strong organizational skills and Microsoft Office / Basic Excel knowledge
  • Ability to learn new building systems quickly.

*This job is hybrid- requiring 3 days a week minimum on site.
